Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualifiedProcurement and Logistics Assistant to join our team in Slovyansk.

 

About the job

You will provide support for the day-to-day functioning of the DRC-DDG sub-office and the implementation of DRC-DDG programs in the area of responsibility. The Finance and Administartive Assistant reports to the Finance and Administration Officer based in Slovyansk with technical supervision from Finance Manager based in Kyiv and under overall management from Head of Office for Slovyansk/Severodonetsk.

 

Your main duties and responsibilities will be:

Finance duties

  • Support the Finance Officer as needed with preparation of documents for payments using existing DRC forms;
  • Support the Finance Officer and Head of Office with month staff forecasting as needed;
  • Manage petty cash and clear cash advances upon request
  • Prepare monthly cash counts
  • Maintain proper filing of all financial documentation (vouchers, contracts, tender documents, etc.)
  • Cash Box counting according to the financial handbook
  • Prepare documents for payments made in cash, by check or via bank transfers.
  • Under close supervision from AFO update cashbooks on a daily basis to reflect the actual status of existing cash count and bank balance in all currencies.
  • Transferring payments when needed and follows up with partners’ reports
  • Follows a given work plan
  • Routine record keeping
  • Understand, and ensure the observance of the DRC-DDG Code of Conduct
  • Other tasks as requested by Administrative/Finance Officer and/or Head of Office 

    Administration duties

  • Manage different administrative tasks such as coordination of office maintenance agreements: office lease, drinking water supply, ensure delivery of the documents to the Kyiv office by courier services when needed; coordinates arrangement trainings/meetings; apartments contracting and maintenance;
  • Work effectively with logistics and program staff in procuring supplies (program/office supplies, stationary, etc.) and services (utilities) as needed in a timely manner;
  • Support scanning and proper storage of contracts and payment documents;
  • Assist in arranging trainings/meetings;
  • Arrange and support office meetings and workshops;
  • Providing business trips with accommodation and transportation (booking hotels, organizing train tickets, collecting the documents);
  • Other tasks as requested by AFO and/or Head of Office.

 

About you

To be successful in this role we expect you to be motivated, reliable, rigorous and well organized. You will have to be willing to learn and demonstrate to be able to manage priorities, take initiatives, and work without constant supervision. All employees should master DRC’s core competencies: Communicating, Taking the lead, Collaborating, Striving for excellence and Demonstrating integrity.

 

Moreover, we also expect the following:

Required experience and technical competencies

  • Minimum 1 year of relevant work experience
  • Experience with carrying out admin tasks
  • Advanced organizational skills
  • Accuracy in paper work
  • Competence to keep negotiations
  • Previous experience in administration is preferable
  • Finance literacy would be an advantage
  • Good communication skills
  • Advanced proficiency in Excel
  • Basic proficiency in PowerPoint and Word
  • Well-developed organizational and planning skills in order to meet deadlines
  • NGO experience
  • Advaned English (speaking/reading/writing)
  • Previous experience in Finance sector
  • Experience of work in international NGO is a plus

Required education

Diploma qualification in Finance, Management or related field.

 

We offer

Contract length: 4 months with possible extension if donors funds available

Level: D

Start date: late September
