Summary :

The work schedule for this position is :

  • Full Time 40 hours per week ;
  • Start date : Candidate must be able to begin working within a reasonable period of time two weeks of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Duties :

Basic Function of the Position – Coordinates all Mission travel arrangements. Expedite people and shipments arriving and departing the country. Receives approved Travel Services Request and prepares initial draft of travel itineraries using the “OAG Travel Information System”. Makes reservations at Airlines or Travel Agencies. Ensures that passengers are confirmed and submits price quotations to passengers for cost construct travel. Drafts travel orders for the GSO’s approval. Coordinates with the Health Unit Emergency Medical Evacuations by preparing Travel Authorizations, making Airline reservations. Reconfirms tickets.

Prepares Government Transportation Requests (GTRs) for the MO’s approval. Purchases tickets in a timely manner and ensures that departure has been reconfirmed. After TA is approved by using Travel Credit Card, purchases tickets. Reconciles the Citibank statement with the travel log before submitting to GSO. Briefs travelers on airport departure (expediter, porters, taxes, etc) procedures. Updates the Departure/Arrival list on the Post WebPage and coordinates with the expediters picks-ups and meet and greet assistance.

Qualifications and Evaluations :

Requirements :

EXPERIENCE :  A minimum of two years of progressively responsible experience in Travel is required.

JOB KNOWLEDGE :  The incumbent must have extensive knowledge of airline reservation and ticketing practices in order to recommend the most efficient and inexpensive means travel.

Education Requirements : Completion of Secondary School is required.

LANGUAGE :  Level III English and Level IV French are required.

SKILLS AND ABILITIES :  The incumbent must be computer literate in order to use specialized software such as “OAG Travel Information System and Travel Manager and use of Internet”. S/He must be able to use a calculator. A driver’s license is required. A high degree of tact, diplomacy and persistence is required when dealing with travelers stressed with long-distance moves to foreign countries. S/He must be able to work constantly under pressure

* IMPORTANT :  Applicants who claim status as a preference-eligible U.S. Veteran must submit a copy of their most recent DD-214 (“Certificate of Release or Discharge from Active Duty”), equivalent documentation, or certification.  A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant. The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service.  Acceptable documentation must be submitted in order for the preference to be given.
