Profil :

Education :  University degree in Bussiness Administration or related field.

 Experience :

  • At least three years work experience in the related field ;
  • Working with donor funded projects will an added advantage.

Organizational context :

Under the overall supervision of the Project Coordinator and technical guidance from Head of Finance and Budget and Programming Officer in WFP, the Administration assistant will perform the duties to support effective delivery and maintenance of client-focused, value-for- money oriented quality administrative practices.

Job purpose :

To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

Key accountabilities (not all-inclusive) :

  1. Take Minutes of meetings and ensure maintenance of all documents of Adaptation Fund Project ;
  2. Check the provision of range of services, including facilities and light vehicle management, travel, protocol related, stationery, etc., and maintaining information to contribute to the provision of a safe and comfortable and working environment ;
  3. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources ;
  4. Manage and maintain paper and electronic records within the areas of responsibility in accordance with established procedures, to ensure swift and easy data access as required ;
  5. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources ;
  6. Be a first point of contract for internal queries on maintenance, to facilitate the provision of efficient and effective resolution of daily issues ;
  7. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided ;
  8. Sourcing all flights quotation’s per travel rules and regulations and prepare all travel documents and seek approval for all travels related to staff members ;
  9. Take and maintain record of inventory and data capture and reconciliation of vehicle information internally and externally hired.
