Brief description of WFP in Uganda

WFP delivers food assistance in emergencies and work with communities to improve nutrition and build resilience. WFP provides life-saving food assistance and livelihood opportunities to refugees in Uganda. In addition, WFP assists the most vulnerable people in Karamoja with food and nutrition assistance. Finally, WFP works with smallholder farmers and links them to markets.

As Uganda strives to achieve Zero Hunger by 2030 and become a middle-income country by 2040, WFP is also assessing its relevance and repositioning its role in Uganda.

 

Standard minimum qualifications :

  1. A university degree obtained from a recognized education institution in any of the following areas: Logistics and Transport, Supplies Management, Business Administration, Procurement, Engineering or any other related area ;
  2. At least Five (5) years of professional working experience in logistics in a fast-paced environment in the areas of maintaining a logistics database, running queries on on-going shipments, pipeline information, insurance claims, inventory management, service provider contracts administration and execution, compilation of contract documentation and budget monitoring and reporting ;
  3. Possession of professional qualifications such as CILT is an added advantage ;
  4. Proficiency in both oral and written English;

 

Job purpose :

To implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

 

Organizational context :

This job is located in WFP Office in Kampala. The incumbent will report to Logistics Officer. He/She will be expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services.

 

Key accountabilities (not all-inclusive) :

  1. Provide commodity accounting support to WFP Supply Chain operations and activities, following standard processes and contributing , directly/indirectly, to the effective delivery of food assistance ;
  2. Monitor inventory management processes to track trends and account for the inventory status ;
  3. Offer support to Gulu warehosue staff for commodity accounting data quality and integrity ;
  4. Identify, resolve and/or provide solutions and recommendations on querries/requests for commodity accounting support using Logistics Execution Support System(LESS) to ensure timely and accurate resolution of querries with excellent client service mind-set ;
  5. Identify and provide leadership in continuous LESS data verification and reconciliation to ensure excellent data quality required for eal time reports ;
  6. Collect and compile data, produce and/or contribute to reports (e.g. Outstanding delivery Report, MMC report, Physical Inventory Status report, Losses report, Warehouse Management report, Consolidated Delivery report) and ensure information accuracy in corporate systems to support informed decision making ;
  7. Monitor data quality and take corrective measures to rectify wrongly captured transactions and ensure downtie is kept to a minimum ;
  8. Participate in the reconciliation of LESS and COMET (a WFP corporate database) transactions and ensure accurate and matching postings for both data processing systems ;
  9. Assist in the reconciliation and follow up on the monthly physical inventories ;
  10. Review and manage the recorded transactions for both warehosue and transport planning, ensuring compliance to corporate systems requirements ;
  11. Responsible for conducting reconciliation exercises with warehouses to ensure that LESS records are matching with warehosue records.
