How can you make a difference?

Under the close supervision and guidance of the Regional Evaluation Adviser, the Programme Assistant  will support the Evaluation Unit by carrying out a range of procedural, administrative, and operational tasks, to help develop, implement and monitor its activities, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations. This encompasses a broad variety of routine tasks and some specialized tasks, requiring thorough knowledge of UNICEF administrative procedures, processes and policies :

  • Maintaining office calendar and arranges meetings, supporting capacity development activities, meetings and conferences ;
  • Keeping vendor lists, partners, and consultant rosters up to date ;
  • Assisting the supervisor in the process of PCA/SSAs, supporting recruitment of consultants, facilitating the processing of contracts for consultants, vendors and external partners  ;
  • Monitoring budgets and financial expenditures of the Evaluation Unit ;
  • Ensuring the availability of timely, complete and accurate information and data for preparing section work plans and project management plans ;
  • Undertaking basic research and performs comparative analysis of evaluation activities related data ;
  • Collecting invoices and filing documents for approval ;
  • Supporting the management of administrative supplies and office equipment ;
  • Providing travel assistance to staff members in the Evaluation Unit  ;
  • Maintaining and updating a system which monitors the absence of staff ;
  • Carrying out transactions in VISION ensuring results, activities and coding are as per annual work plans (AWPs) ;
  • Assisting with translation, proofreading and formatting of various evaluation-related documents ;
  • Carrying out other administrative tasks as requested by supervisor.

 

To qualify as an advocate for every child you will have :

Education : Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.

Experience : A minimum of five (5) years of progressively responsible administrative or clerical work experience is required.

Language Requirements : Fluency in French and English is required. Knowledge of another official UN language or local language of the duty station is considered as an asset.

Skills :

  • Thorough knowledge of UNICEF administrative policies and procedures ;
  • Strong organizational, planning and prioritizing skills and abilities ;
  • High sense of confidentiality, initiative and good judgment ;
  • Ability to work effectively with people of different national and cultural backgrounds ;
  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint.
