Purpose of the Position

Under General supervision of the Representative, the Executive Associate will provide a variety of administrative and secretarial support duties, as well as organization and coordinative functions to the office of the Representative.

 

Key Expected Results

The efficiency and effectiveness of the support provided by the Executive Associate to the development, implementation and monitoring of programs/projects facilitates the delivery of  concrete and sustainable results for the respective section, which in turn enhances the offices and UNICEF’s capacity in helping the most vulnerable women and children.

 Key Accountabilities and Duties & Tasks :

  1. Support to programme development, planning and execution :
  • Organizes the Area Representative’s work schedule, arranging appointments/meetings, making the necessary contacts and maintaining the Representative’s calendar.  Receives High-ranking visitors; places and screens telephone calls, receives and screens unscheduled visitors, answering to queries with tact and discretion. During the Representative’s absence, handles unexpected events with good judgement, coordinating with the OIC on the appropriateness to respond to urgent correspondence, and to ensure that necessary action is taken on all urgent matters ;
  • Drafts non-substantive official correspondence, in English and /or Portuguese, on the Representative’s request or at the individual’s own initiative, and ensures the necessary follow-up ;
  • Participates in the organization and preparation of staff meetings, special meetings and official trips, preparing the necessary briefing/background material for the use of the Representative during same. Takes notes during the meetings and prepares the minutes, in English and/or Portuguese as required ;
  • Selects and makes pertinent abstracts and undertakes searches for information ;
  • Receives, screens, logs and routes correspondence, attaching the necessary background information, for attention and action or information of the Representative or other officers concerned, and maintains follow-up.
  1. Support to monitoring and reporting of programme results :
  • Prepares translations from English to Portuguese and vice versa for the Representative’s use and for transmission to Government counterparts or to Headquarters/Regional Office. May act as interpreter during meetings ;
  • Keep lists of key names, address and telephone numbers of ministers, other Government officials and members of the diplomatic corps, UNICEF offices and key personnel in the UN system, Bilateral Organizations and NGOs ;
  • Takes dictation, using shorthand, on a variety of subject-matters and transcribes, ensuring that spelling, punctuation and format are correct. Types correspondences, documents and reports, etc., some of which are highly confidential.
  1. Support in resource mobilization :
  • In charge of protocol matters: (a) arranges appointments/meetings with high-ranking officials; and (b) arranges official receptions and other social events given by the Representative.

 

Qualifications of Successful Candidate :

Education : High School Graduation, Secretary Training, Training in PC and Variety of software applications, including Word Perfect and spreadsheet.

Experience : A minimum of 6 years of progressively responsible secretarial functions, some of which should have been at a secretarial level.

Language Requirements :  Fluency in English and in the local language of the duty station required.
